CONFERENCES & EVENTS MODULE


The Conference & Events module enables students and customers to book and pay for conferences and events online.

The Conference and Events module enables staff administrators to successfully manage and market events online while providing users with the ability to easily register and pay to attend a conference or event.

The Conference and Events module is the most frequently used extension module to the Online Store simply because it streamlines all current, lengthy processes involved with managing multiple conferences and events online into one centralised system.

The Conference and Events module was developed to address the higher and further education sectors requirement to simplify online bookings and payments for multiple attendees in a single shopping session. The module sits somewhere in-between the basic Online Store shopping basket functionality and a full stand-alone conference management system.

FULLY CUSTOMISABLE EVENT PAGES

The module allows the administrator to tailor make an event booking process that provides the user with all the information needed in order to book a conference or event. For each event the following areas can be configured:

General Information
Display the date, number of places available (optional) and a description.

Location
Display location information/description, image, maps, transport, text and HTML formatting.

Package
Provide users with the different package options available to them, allocation of spaces, prices and programme options.

Programme
Display a full event/conference programme.

Contact
Include specific contact details for a conference or event.

Questionnaire
An optional questionnaire can also be added to gain relevant information specific to each event.

By displaying all the relevant information the user is provided with everything they require to attend the event without the need to contact university or college staff.

EXPORT DATA IN CSV FORMAT – CAPTURE ATTENDEE DETAILS

The Conference and Events module provides event specific administration and reporting enabling staff administrators to export in-depth reports relating to a specific event such as; event summary, delegates attending, special entry/dietary requirements and programme options.

The data is stored within the system and provides staff with a clear, overall picture of how successful events/conferences have been, they can see which conferences/events were the most popular and which weren’t to help make informed decisions on future events and conferences.

SIMPLIFY REGISTRATION – USERS CAN BOOK FOR ONE OR MORE DELEGATES

From a user's perspective, the Conference and Events module simplifies the registration process and enables them to book one or more delegates to attend a specific conference or event in a single shopping trip. It’s time consuming if a user has to buy each ticket individually; with this module users gain an easy and convenient way to book and pay online which, in turn, helps to encourage repeat purchases.

ENABLE WAITING LISTS & CAPTURE INTEREST FROM POTENTIAL CUSTOMERS

With the Conference and Events module the user can join a waiting list for oversubscribed conferences and events, this has many advantages to both the staff administers and the users. Waiting lists not only allow university/college staff to capture interest from potential attendees but they also provide an opportunity to promote similar conferences and events to a particular individual while providing a greater level of customer service. This is also great if you have a marketing team that want to evaluate user demographic data captured via the system.

NO PROGRAMMING EXPERIENCE REQUIRED TO ADD AN EVENT

The Conference and Events module has been developed to be straightforward and easy to use. The system provides flexibility for staff to set up new categories and add additional conferences and events easily with no programming experience needed. Staff can add a vast amount of information about a particular conference or event including questionnaires that ask the attendee specific questions. This detailed information provides staff with support that will help to make a conference or event run as smoothly as possible.

MULTIPLE ATTENDEE PACKAGES

The system gives you the option to set-up one or more attendee packages, each with its own allocation of spaces, pricing, programme options (optional) and attendee type capacities. For example, different options and prices for students or those from a professional body or implementing capacity constraints such as only 20 student attendees at an event that has a total capacity of 60.

PROGRAMME MANAGEMENT - CONTROL/LIMIT NUMBERS FOR EACH EVENT

For each event or conference staff administers have the option to construct a full plenary and daily programme which can be either just for display purposes or to allow delegates to book specific options (optionally limiting numbers for each).

CROSS SELL AND UP SELL AUXILIARY SERVICES

There are many additional services that a delegate will need to or could book when attending a conference or event at your institution such as accommodation, hospitality, products and merchandise. The Conference and Events module provides the opportunity to increase revenue by providing a delegate with access to relevant complementary services.
