GRADUATION CEREMONIES MODULE

Developed in response to forty higher education clients, the Graduation Ceremonies module addresses the need for institutions to be able to successfully manage and promote graduation ceremonies online.

The solution significantly improves the booking process while reducing staff administration and increasing the revenue gained from selling graduation ceremony tickets online. With the module, an institution can sell additional complimentary products and services students may require when attending a graduation ceremony. Administers have full control, they can view how many tickets are available, specify the price of various seating areas and even control what areas of the ceremony guests are able to have access to.

The system takes into account different graduation ceremony scenarios such as offering free guest tickets as well as charged tickets. The Graduation Ceremonies module streamlines current traditional methods into a simple, stepped, online booking process.

The Graduation Ceremonies module will be available in the second half of 2010 and will continue to be developed in line with customer feedback and the HE & FE sectors requirements.

ONLY GIVE GRADUANDS ACCESS TO THE CEREMONY THEY’RE ASSIGNED TO

Student details can either be imported into the system, to allow it to validate which ceremony they should be given access to, or the details can be passed from the institutions internal systems in real-time, e.g. from the student portal. The system ensures no graduands end up attending the wrong ceremony erasing any ‘mishaps’.

INCLUDE RELEVANT CEREMONY DETAILS

Staff administers can include details of each ceremony including the date, times, location and any other relevant supporting information. Additionally, administers can include availability of tickets, which times graduands can book/purchase tickets and up to which point they can update their details is also controlled by set date ranges.

By displaying all relevant information staffs workload is significantly reduced as there are fewer queries from graduands. As well as reducing staff administration, graduands benefit from a high level of customer service by having ceremony details at hand.

ALLOW GRADUANDS TO BOOK THEIR OWN TICKETS ONLINE

Graduands gain the ability to be able to book their own graduation ceremony tickets easily and at their own convenience online. Graduands are also provided with a number of pre-defined additional guest tickets which can either be free of charge or require payment. By enabling graduands to be able to book their own tickets helps to reduce the amount of contact needed with university or college staff administers - freeing resources.

COMPILE AND UPDATE GRADUANDS INFORMATION

Administers can record and update graduands contact information and any other relevant information. Staff administers can also use these details for when graduands leave the university or college. The system logs all contact information so staff have access to the information as and when required.

INCLUDE QUESTIONNAIRES

The Graduation Ceremonies module gives staff administers the option to include a questionnaire which will appear when the graduand purchases their tickets online. Questionnaires can be extremely useful when additional information is required such as special dietary requirements and accessibility issues etc. All of this information can be time consuming to collect on an individual basis which is why the system has been developed to streamline traditional methods and make it as simple as possible to collect all the relevant information required for a ceremony.

SELL SUPPLEMENTARY SERVICES

The fundamental principle of the Graduation Ceremonies module is to give institutions the ability to offer additional services to a graduand and their guests. This functionality has the ability to cover any service an institution wishes to promote but has been designed in response to common requirements such as catering/hospitality and accommodation provision. Staff administers may decide to include other services such as photography and gown hire.

Selling supplementary services not only helps to generate additional revenue but also helps to exceed graduand expectations by providing them with everything they need to attend their graduation ceremony.

SELL PRODUCTS OF YOUR CHOICE

The Graduation Ceremonies module also provides functionality to allow direct access to products (or services) which are already held within the Product Catalogue of an institution’s Online Store. This is especially useful if, for example, an institution wishes to sell merchandise without having to re-enter the products and while still making use of stock control and fulfilment functions of the Product Catalogue module.

Full control is given to select which products should be made available. Again, having the ability to sell not only additional services but also products is a great advantage for any institution wishing to generate additional revenue.

DONATIONS

The module can also be used to create a step to allow a graduand to make, or set up, an ongoing donation to the institution.
